Custom Roles

Build your own permission sets with Read, Write and Delete per module and assign them to team members.


What custom roles are

A custom role is a named set of permissions you design yourself, for example a role that can work on invoices and payments but cannot see deals. Each module has three switches: Read, Write and Delete. "Write" covers both creating and editing.

Who can use them

Only admins can create, edit, delete and assign custom roles. The feature needs the Growth plan or higher; on Starter you are told it requires the Growth plan and pointed to Billing.

Create a role

  • Open "Roles" in the Admin section of the sidebar (under System). The page is titled "Custom roles".
  • Click "New role".
  • Enter a "Role name" and, if you like, a description.
  • In the Module permissions table, tick Read, Write and Delete for each module the role should have. Modules are grouped (CRM, Deals & Growth, Sales documents, Finance, Practice, Support & work, Communications, People, Content & files, Client modules, Admin & other).
  • Click "Create". The role list shows R, W and D counts and how many members hold the role.

Assign a role to someone

  • Go to Settings → Team.
  • Next to the person, use the custom role dropdown (default "No custom role") and pick your role. The dropdown appears once at least one custom role exists.
  • To set a role at invite time, pick it in the same dropdown next to the Invite button.

How a custom role behaves

  • It replaces the person’s default access completely. It is not added on top of Admin, Manager or Operator access.
  • Anything you do not tick is denied, including reading. A role with only "Invoices: Read" is not meant to open the contacts list.
  • Custom roles never grant export, approve or manage rights, because there is no switch for them.
  • The person’s base role (Settings → Team dropdown) still decides coarse things such as team management, which is admin-only.
  • To open the embedded client modules (Payroll, Books, Tax, Audit, Filings), a custom role needs Read on the matching "Client modules" line.

Editing and deleting

  • Edit changes permissions for everyone holding the role, and takes effect on their next request.
  • System roles are view-only ("View" button) and cannot be edited or deleted.
  • Deleting a role asks for confirmation and tells you how many members hold it. Those members fall back to their default access, they are not locked out.
  • Role creation, edits and deletions are recorded in the Audit Log.

Common problems

  • Someone cannot see a page they should — add Read for that module (and any module it pulls data from, such as Clients for invoices).
  • The role dropdown is missing on the Team card — you have no custom roles yet, or you are not an admin.
  • A message saying the feature requires the Growth plan — check Billing; custom roles need Growth or higher.
