Overdue Reminders and Dunning

How automatic payment reminders escalate, how to pause them and how to record a promise to pay.


The reminder ladder

Oris Work chases open invoices automatically with a six-step ladder, counted from the invoice's due date. Each step goes out once, and the check runs once a day.

  • Step 1: 3 days before the due date, 'Payment due soon' (friendly nudge).
  • Step 2: 1 day after, 'Payment overdue'.
  • Step 3: 7 days after, 'Second reminder'.
  • Step 4: 15 days after, 'Third reminder'.
  • Step 5: 22 days after, 'Urgent: payment overdue'.
  • Step 6: 30 days after, 'Final notice'.

Which invoices and who receives it

  • Invoices that are Sent, Viewed, Partial or Overdue and still have a balance. Drafts, paid, void, cancelled, disputed and written-off invoices are left alone.
  • The message names the invoice number, the balance due and the due date, signed with your firm name.
  • It goes to the invoice's contact, or else the client's first contact with an email. The channel follows the client's 'Send reminders by' choice (Email, WhatsApp, or Email and WhatsApp), set by clicking Edit on the client.
  • If the sweep missed some days, only the latest applicable step is sent, not a pile of older ones. If a send fails, it is retried the next day.

Turn it on or off

Admins use Settings → Finance → Notifications and the 'Overdue invoice reminders' checkbox, then 'Save finance settings'. The same switch controls automatic sending of recurring invoices. Turning it off only stops the automatic sweep; you can still send any reminder by hand. Email must be working for your workspace (Settings → Email sending), and WhatsApp reminders need a connected WhatsApp number. The step timing itself is not editable in Settings.

Pause reminders

  • One client: Edit the client and tick 'Pause automated reminders for this client' (see 'Do Not Chase').
  • One invoice: Finance → Invoices, row menu, 'Pause automated reminders' (and 'Resume automated reminders' later).

Promise to pay

If a client tells you when they will pay, open the invoice and in the Collections card click 'Record promise to pay' (or use the row menu on the invoice list). Pick the date and an optional note. Reminders for that invoice pause until the date. If it passes unpaid, the promise is marked broken and the ladder resumes. 'Withdraw promise' brings reminders back straight away. The 'Overdue & promises' tab in Finance → Sales follow-up lists these in one place.

See what was sent

The Collections card on each invoice has a Reminder log, with lines like 'Step 2 · Email · sent' or '· failed (reason)'. A client with no email or phone is logged as skipped.

Common problems

  • No reminder went out: check the client is not paused, the invoice is not paused, there is no live promise to pay, the switch in Settings is on, and the contact has an email.
  • Failed with 'WhatsApp is not connected for this workspace': connect WhatsApp or change the client to Email.
