Log hours in a weekly grid, submit the week for approval, and understand why approved weeks are locked.
What the timesheet is
The Timesheet is a weekly grid with one row per task and one column per day (Monday to Sunday). It shows the same time entries you log from the Tasks page or the Time Tracking page, so you can review and correct a whole week in one place. Open it from Practice → Reports → Timesheet. The Practice module must be switched on for your organisation.
Enter your hours
- Use the Previous, Next and This week buttons to pick the week.
- Type hours into a cell, for example 1.5, 1:30 or 90m, then press Enter or click away. The cell sets that day's total for the task.
- Clear a cell to remove that day's time for the task.
- Untick Billable on a row for internal or non-billable time such as training.
- The footer shows each Day total, the week total, the billable hours and your utilisation percentage.
- Rows come from tasks assigned to you and tasks you logged time on during the week. If you see 'No tasks assigned and no time logged this week', create or get assigned a task first.
Submit the week for approval
When the week is complete, use the Approval bar above the grid. You can type an optional 'Note for the approver' and click 'Submit for approval'. The button is disabled until some time is logged. Approvers are notified. While the week is Submitted it is locked, so nobody can add, edit or delete time in it. If you spot a mistake before it is decided, click 'Recall to edit'.
Approve or send back (approvers)
Admins, managers, and anyone granted the Approve permission for Practice see a 'Waiting for your approval' list above the grid.
- Click a person's name to open their week and review it. The 'Whose timesheet' picker also lets approvers view another person's grid.
- Click Approve to approve and lock the week.
- Click Reject, type what needs fixing, then click 'Send back'. A reason is required.
- You cannot decide your own timesheet when another approver exists. In a one-person firm you can approve your own.
What gets locked, and why
- A Submitted or Approved week is frozen: grid cells are disabled, and the task timer and manual time logging are also blocked for those days.
- A Rejected week is open again. The approver's reason is shown; fix the hours and click 'Re-submit for approval'.
- An Approved week cannot be recalled.
- Separately, time that is already on an invoice is locked in the grid even if the week is open. Its cells show 'Includes time already invoiced'.
Common problems
- 'This week's timesheet is submitted for approval and is locked': click 'Recall to edit' if you submitted it, or ask the approver to reject it.
- 'There is no time logged this week to submit': log time first.
- 'Another approver needs to review your own timesheet': ask a different admin or manager.
- You cannot edit someone else's week: only admins, managers and approvers can view or edit another person's timesheet.
